AI Note Taker (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the AI Note Taker mobile application and related services (the “Services”).

1. WHO WE ARE

AI Note Taker operates the AI Note Taker mobile application.

You must be at least 13 years old (or the minimum legal age required in your jurisdiction) to use the Services.

3. INFORMATION WE COLLECT

We collect only the information necessary to provide the core functionality of the app.

3.1 Contact Information (Optional)

• Email address (only if you choose to share a summary via email)

Purpose: To send summaries at your request.Legal Basis: Performance of contract.

AI Note Taker does not require account registration to use the Services.

3.2 Audio Data

• Voice recordings you create or upload within the app.

Audio recordings remain on your device. Transcription is performed on-device (where supported). We do not upload your raw audio to NeoStackX, Google Gemini, or other cloud AI providers for summarization or related features.

Purpose: To create a local transcript of your recording. Legal Basis: Performance of contract.

3.3 Generated Data

• Transcripts (text)
• Summaries
• To-do lists
• Translations
• Q&A answers and other AI-generated outputs

When you use AI features (summary, to-do list, translate, or Q&A), the relevant transcript text (and, for Q&A or translate, the related text you submit) is sent through our NeoStackX AI gateway to Google Gemini for processing. Audio files are not sent for these features.

Purpose: To provide core AI Note Taker features. Legal Basis: Performance of contract.

3.4 Subscription & Identifier Information

• Anonymous subscription-related identifiers (e.g., RevenueCat App User ID)
• Purchase status

Purpose: To manage subscriptions and unlock premium features.Legal Basis: Performance of contract.

We do not collect or store your payment card information. Payments are processed securely by Apple or Google through their respective App Store for the corresponding iOS or Android application.

3.5 Usage & Diagnostic Data

• Crash reports
• Performance logs
• Feature interaction data

Purpose: To improve performance, reliability, and user experience.Legal Basis: Legitimate interests.

3.6 Device Information

• IP address
• Device type
• Operating system
• App version

Certain device and IP information may be automatically processed by our service providers for security, operational, or troubleshooting purposes.

4. HOW WE USE YOUR INFORMATION

We use your information to:

• Provide on-device audio transcription
• Generate AI summaries from transcript text
• Generate AI to-do lists from transcript text
• Translate summaries or related text
• Answer questions about a transcript (Q&A)
• Deliver and display these outputs in the app
• Manage subscriptions
• Improve app performance and stability
• Respond to support requests
• Comply with legal obligations

We do not sell personal data for monetary value.

5. AI PROCESSING

AI Note Taker uses:

• On-device transcription technology where applicable (audio stays on your device)
• Our NeoStackX AI gateway, which routes transcript text to Google Gemini for cloud AI features

Cloud AI features that may send transcript text (not audio) via NeoStackX to Gemini include:

• Summary generation
• To-do list generation
• Translation
• Q&A about a transcript

When NeoStackX / Google Gemini process your data:

• They act as data processors (or equivalent under applicable law)
• They process data only to provide the requested feature
• They do not use your data to train their models unless explicitly permitted under their policies

We do not sell your audio recordings or transcripts.

6. DATA STORAGE

Audio recordings are stored locally on your device. Transcripts and AI outputs are also stored locally on your device unless you choose to share or export them.

When you use summary, to-do, translate, or Q&A features, transcript text is transmitted securely to NeoStackX and processed by Google Gemini to generate the result. That text is processed for the request and is not kept by us as a permanent cloud library of your notes.

We do not operate a user account database or meeting bot system.

We do not access your calendar, email account, or external meeting platforms.

7. DATA RETENTION

We retain personal data only as long as necessary to:

• Provide the Services
• Comply with legal obligations
• Resolve disputes
• Enforce agreements

You may delete recordings and transcripts within the app. Once permanently deleted, they cannot be recovered.

8. DATA SHARING

We may share data with:

• NeoStackX (our AI gateway) and Google Gemini — transcript text only, for summary, to-do, translate, and Q&A features
• Subscription management services (e.g., RevenueCat)
• Apple and Google for payment processing
• Analytics or crash reporting providers (if applicable)

We do not share your audio recordings with NeoStackX or Google Gemini for these AI features.

We may disclose information if required by law.

We do not sell personal data.

9. INTERNATIONAL DATA TRANSFERS

Your data may be transferred and processed outside your country.

Where required, we implement appropriate safeguards such as:

• Standard Contractual Clauses (SCCs)
